If you’ve ever paid a vendor invoice the second it landed in your inbox—just so you wouldn’t forget about it—only to realize weeks later that you tanked your own cash flow by paying early, you already understand the problem Melio is trying to solve.
As a freelancer and small agency owner, I’ve bounced between paying bills directly from my bank, tracking due dates in a spreadsheet, and occasionally just… forgetting until a vendor sent a polite (or not-so-polite) reminder. None of that felt like running a real business. So when Melio kept coming up as a go-to accounts payable tool for small business owners, I decided to actually test it out and see if it lived up to the hype.
In this Melio review, I’ll walk you through what it does, how it works with QuickBooks and Xero, what I loved, what annoyed me, and whether it’s actually worth adding to your toolkit.
Short Answer: Should You Use Melio?

YES: If you’re a freelancer, agency owner, or small business owner who wants more control over cash flow, more payment method flexibility for vendors, and a free tier that actually offers real functionality. Especially useful if you’re already using QuickBooks Online or Xero. Try the free plan here.
PROBABLY NOT: If you need advanced ERP integrations, robust expense reporting, or you’re processing a high volume of complex, multi-currency international payments. Larger businesses with more sophisticated finance operations may outgrow Melio quickly.
What Is Melio?
Melio
Melio is a bill payment platform built specifically for small businesses, freelancers, and accountants. It lets you pay vendors and contractors—even ones who don't accept credit cards—directly from a single dashboard, using bank transfer, credit card, or debit card. It's not a bank and it's not full accounting software; think of it as the bridge between your business bank account and the people you owe money to. It syncs with QuickBooks Online and Xero, which means your books stay accurate without manual double entry.
Why we like Melio ‣
We appreciate that Melio tackles a genuine cash flow pain point for freelancers and small business owners: the ability to pay any vendor by credit card, even ones who don't accept cards, buys real breathing room between when a bill is due and when cash actually leaves your account. Add in a free ACH tier, two-way QuickBooks and Xero syncing, and built-in approval workflows for teams, and Melio delivers solid accounts payable value without asking you to adopt a whole new accounting system.

Getting Started: Setup and Onboarding
Signing up for Melio is refreshingly simple. You create an account, and if you’re using QuickBooks Online or Xero, you can connect it within a few clicks. Once connected, the two systems start talking to each other immediately.
You can add vendors a few different ways: manually, by uploading a list, by syncing directly from your accounting software, or even by connecting your Gmail so invoices that land in your inbox get pulled in automatically. Whatever your current process looks like, Melio seems designed to meet you where you are rather than forcing you to start from scratch.
Adding and Paying Bills: How It Actually Works
This is where I spent most of my testing time, and the experience was a mixed bag.
For simple bills, the upload process is fast. I dropped in a straightforward invoice, and within seconds Melio correctly pulled the vendor name, the amount, the invoice date, and the due date. That part worked exactly as advertised.

Where it stumbled was categorization. When I tried to assign the correct expense category, the search function struggled to find what should have been an obvious match. It took several tries and a fair amount of scrolling to land on the right category—not a dealbreaker, but noticeably clunkier than I expected from a tool built around saving time.
More complex bills—ones with multiple line items—created some friction too. Melio flagged a discrepancy between the scanned total and the line-item total, and gave me the option to either auto-add the difference as a new line item or remove line items altogether. Without the line-item extraction feature (which is a paid upgrade), everything just gets dumped into a single line, which works fine for simple bookkeeping but isn’t ideal if you need granular tracking.
Once a bill is entered, though, actually paying it is smooth. You can choose:
- ACH bank transfer (free, with limits depending on your plan)
- Credit card (2.9% fee, but you keep your cash and earn rewards points)
- Virtual card (free to you, vendor can choose how to receive it)
- Paper check ($1.50)
- Wire transfer ($10 fee)
- International payment ($20 flat fee, regardless of amount)
You can mix and match delivery methods and payment dates across multiple vendors in a single batch, which is genuinely useful if you’ve got some vendors who need to be paid fast and others where you’re comfortable stretching out the timeline to protect cash flow.
The Credit Card Float Strategy
This is probably Melio’s standout feature, and it’s worth calling out on its own.
You can pay literally any vendor with your business credit card—even ones who only accept checks or bank transfers—and Melio handles the conversion on the back end. Your vendor gets paid the way they expect; your card gets charged; and you don’t have to settle that balance for another few weeks, depending on your billing cycle.
For a service-based business managing tight cash flow, this is a real advantage. You get breathing room between when an expense is due and when the cash actually needs to leave your account, plus you’re racking up credit card rewards points in the process. Yes, you’re paying that 2.9% fee, but if you’re earning 2–5% back in points or cash, the math can work out in your favor—especially if you’re also trying to hit a spending threshold for a sign-up bonus.
QuickBooks and Xero Integration
If you’re already running your books in QuickBooks Online or Xero, this is where Melio really shines.
The sync is two-way in most areas: bills entered in QuickBooks show up in Melio, and payments made in Melio update automatically back in QuickBooks. The one exception worth noting is invoicing—if you create an invoice inside Melio itself, it won’t sync back to QuickBooks. Invoicing syncs one-way, from QuickBooks into Melio. But if a client pays that invoice through Melio, the payment status does sync back, so your books stay accurate.
Worth mentioning: Xero actually acquired Melio, so if you’re a Xero user, many of Melio’s features are now built directly into the Xero interface, meaning you may not even need to log into a separate platform.

Getting Paid: The Accounts Receivable Side
While Melio is primarily known for accounts payable, it also handles the other side of the equation. You can generate a shareable payment link and send it to clients—no Melio account required on their end. They click, choose bank transfer or credit card, and pay. It’s a clean, low-friction way to collect payment, particularly if you’re already emailing a client about something else and just need to drop in a payment link.
Team Features and Approval Workflows
If you work with a team—even a small one—Melio’s approval workflows let you delegate the actual data entry and bill creation while retaining final approval before money goes out the door. Given how common invoice fraud and simple double-entry mistakes are, this is a smart layer of control, even if you fully trust your team.
You can also batch multiple bills together and pay them all at once, which saves meaningful time if you’re processing payments weekly rather than one at a time.
The Mobile App
The mobile experience covers most of what you’d want: scanning bills on the go, approving or declining payments from your phone, and getting notifications when something needs your attention. For anyone who travels for client meetings or just doesn’t want to be chained to a desktop, this closes a real gap.
International Payments
Melio has expanded to support international vendor payments, which wasn’t always the case. You can pay in USD or in the vendor’s local currency, via bank transfer or credit card, for a flat fee (commonly cited around $20 per transaction). That’s a meaningful improvement if you work with overseas contractors, though it’s worth noting this is still less robust than tools built specifically around multi-currency payments.
Security
For a tool handling real money movement, security matters, and Melio checks the expected boxes: PCI compliance and SOC compliance are both documented on their site. If you’re the type of business owner (or accountant) who wants to see the receipts on this before trusting a platform with vendor payments, Melio makes that information available rather than burying it.

How Melio Compares
vs. QuickBooks’ native bill pay: If your QuickBooks merchant services aren’t working the way you need, or you want more delivery method flexibility (virtual cards, more payment options), Melio fills that gap. Melio’s Unlimited plan also comes in below what QuickBooks charges for comparable volume.
vs. Bill.com: Bill is built for scale, with heavier features like OCR-based invoice scanning, more robust vendor management, and ERP integrations. It’s more powerful, but it’s also more complex and doesn’t offer a free tier. If you’re solo or just starting to formalize your AP process, Melio is the more approachable on-ramp.
vs. manually paying through your bank: No comparison, honestly. If you’re currently just logging into your bank and paying bills one by one, Melio’s cash flow visibility, scheduling, and accounting sync alone are worth the switch—even on the free plan.
Who Should Use Melio
Freelancers and solopreneurs with a handful of recurring vendor or contractor payments each month who want a cleaner system than “pay it when I remember.”
Service-based small businesses managing multiple contractors, software subscriptions, and recurring vendor bills who want everything synced automatically with QuickBooks or Xero.
Growing teams who need approval workflows without wanting to hand full financial control to a team member.
Anyone prioritizing cash flow flexibility, especially through the credit-card-payment-to-any-vendor feature.

Who Might Want to Look Elsewhere
Larger businesses with complex, high-volume AP needs, ERP integration requirements, or in-depth financial reporting needs will likely outgrow Melio’s feature set.
Businesses with heavy international vendor relationships requiring true multi-currency handling beyond a flat-fee USD conversion may want a more specialized international payments tool.
Anyone needing built-in expense management or detailed financial analytics will need to pair Melio with another tool, since reporting stays fairly basic by design.
Final Verdict
After spending real time in the platform, my honest take is this: Melio isn’t trying to be everything. It’s trying to solve one specific, persistent headache for small business owners—paying bills without cash flow anxiety or juggling five disconnected systems—and for the most part, it succeeds.
The bill categorization and OCR accuracy could use some polish, and if you’re the type of business that needs deep financial reporting, you’ll be pairing this with something else. But the core value proposition—free ACH transfers, flexible payment delivery methods, genuine cash flow control through credit card payments, and clean QuickBooks/Xero syncing—makes this a legitimately useful tool, not just another subscription to add to the pile.
For freelancers and small business owners who’ve been managing vendor payments through sheer memory and mild anxiety, Melio is a meaningful upgrade. Start with the free Go plan, see how it fits into your workflow, and scale up only if you actually need the higher transaction volume or team features.
